May 22nd Meeting Summary

Summary of Discussion:

Food: Dan received formal contract from It’s the Pitts. Price for participant or family meals to RHYC is $8. They will be catering the One Design regatta in advance of JOs as a trial run. Dan, Cathy, and Connie met with the Lions Club. Contract is pending, but they are set. Chester River Seafood is set, but contract pending. In addition to vegetarian selection (by It’s the Pitts) need to request a Kosher option too. Agreed that a “kid friendly” meal will be offered Friday night that for those participants and their family that come for the clinic, movie, and registration.

Awards: Beth showed everyone the metals, certificates, and examples of special awards. Forms for the sportsmanship award will be included in the registration bags. Wanda will introduce the concept at the opening ceremony. PRO and on the water team should nominate candidates for sportsmanship, best dressed, etc. In addition, Carolyn, Denise, & Marcia are good on-land candidates for nominating. Chip/John are responsible for nominating candidates for best boat keeping.

Grounds: Chip reviewed a draft of grounds layout. Discussed parking in detail. Minimally he needs 8 volunteers to assist. After parking these folks will move to the beach head to assist with launching boats. YC is securing 2 way radios (need batteries). Langford Bay has agreed to offer overflow parking. They also have a shuttle that can be used to go into town, but that it will be scheduled around their needs. We need our own shuttle service.

Volunteers: Rick highlighted that there still is sub-committees that owe him requirements. In addition, all background people should be noted on his list as this can be used as a master list to thank people.

Resulting Action Item:
1. Outline requirements resource requirements for fun activities (volunteer staff & supplies). Dottie, Amber, and Patti
2. Who is the primary contact for coordinating the movie & ice cream with Sailing Emporium?
3. Chuck: Reach out to Chester River Kayak and Topaz to confirm space requirements and schedule. Confirm what time Gary is arriving. Contact Sara to gain permission for using her photos (with photo credit) for publicity. Also, who is shuttling her around the courses. Meet with RHFC EMT to confirm on-land support.
4. Lisa/Amber: Formalize sponsorship with Beer
5. Dan/Cathy: Check if Lion’s Club can offer Kosher hot dogs too.
6. Lisa: Confirm what day/time is tent scheduled to arrive?
7. Wanda : Draft week long schedule of activities (grass cutting is planned for Wednesday).Confirm that college presentation is set for Sunday before Gary’s speech. Request additional posters (complete). Send dignitary invites to: David Houck, Garret, Lee Parks, RH Mayor, Arthur Houcht (sp?). Ask Cindy who else she thinks is appropriate to contact. Ask Lee if he would send an official Commodore letter to other CB commodores inviting them to attend. Ask Greg or Jack to shuttle coach boat. Consolidate list of Vendors and send official invite for meeting on 26th.
8. Connie: Update flyer (complete), send Jan official email list for CBYRA & past participants. Ask Joe about signs.
9. Resources Requirements:
a. Batteries for radio
10. Lee: Talk to Mort about parking trailers at marina. Discuss consolidation of boat trailers with club and request permission to move if needed.
11. Denise: Need to include a note about ramp permit in coach boat registration bags.
12. Need a shuttle for overflow parking at Langford Bay.
