A few weeks ago, Chuck, Connie, and I sat down and brainstormed our thoughts on the event. Below are our notes on the awards, but you can own from here.

Sorry for the delay in my response. Connie, I received the invite to your blog, thanks and I've checked out the RHYC and US Sailing/JO websites.
The first, and most important publicity piece should be a press release issued by US Sailing announcing their selection of Rock Hall Yacht Club as the host of the 2010 Junior Olympics. The release should announce the site selection and should include a quote from a high ranking official as to why the organization chose Rock Hall. The release should also talk about the Junior Olympics program/classes, and might include a quote from the Commodore of the Rock Hall Yacht Club about how excited we are to have this major national event at the Club. Does US Sailing plan to issue such as release? It will have much more credibility, and will be picked up by national media outlets if it comes from US Sailing. When you get a copy of their release, we can send it to our local media (radio, print, online, etc) as well. The release should be posted on their website as well as on the RHYC site.
What local and regional events at the Club and in the community will take place leading up to this event? Any regional class championships leading up to the JO should include a reference to the JO in Rock Hall and the date of the event. We might consider getting the sailing coaches at Washington College and Gunston Day School aware and involved in this event to build local awareness and interest. (Gunston just hired a sailing coach from Stanford U. and they have a strong sailing program. WC, as you probably know, ranked in the top 10 college teams in the US in sailing last year.)
Have you talked with the folks at US Sailing and asked how RHYC can work with them to publicize the event and get their recommendations? This is important, so we don't overstep their publicity plans.
I'll also talk with Bernadette VanPelt, Kent County Tourism Director to get her recommendations on publicity as well./

PRO for C420 and Radials ----- Lee Urbani
PRO for Opti Red, White and Blue----- Bobby Frye
PRO for Opti Green Fleet -open-- Clinic to be conducted by Amy Kehoe.
We will need three Safety/Chase/Mark boats and a Committee boat (start in
the middle of the windward leg so no finish boat needed) for each racing
circle. The Sailing School can supply the two Whalers for the green fleet
and the other two School boats are available for the other two circles. That leaves us with four more small boats needed for the racing circles. We will also need one more boat for a short time to run lunches out to the sailors.
It would be nice if we could have a larger boat with a licensed captain to
take out spectators.
I am nominating Seth Powell and Tom Tontarski to be in charge of Patrol boatcommitment and racing mark availability. We will need three sets of marks in different colors.
There has been a request for including a Windsurfer class in our event. I
have told the interested parties that we need to have their support (PRO)
and the commitment of ten boats pre-registered two weeks before the event.
After reviewing Island Heights YC plans I see that they have a standard of
fifteen boats to set up a separate circle so we should make that change.
I spoke to the RH vol FD and they may be able to send their emergency boat
for the entire two days. Should confirm this week.
We need to find two more Recorder/Scorers and their laptops so each
committee boat will be able to do the scores on the water and have them done when they get in off the water. We will also need inverters on each
Committee boat so the laptops will not die.
We need to buy, beg or borrow three more megaphones so we can have one at
each end of the Starting lines for C420/Lasers and OPti RWB. We can then
hoist the I flag instead of the prep flag at four minutes to go and talk
boats back from the line starting at one minute to go (Rule 30.1). We need
to have a megaphone for each end of the line to call the boats if they are
close to being over with one minute to go. Buzz Reynolds at IHYC does this
and has only had an average of two General Recalls over the ten years they
have been doing it and they had 304 boats this year on four circles.
One more thing we will need is someplace to park the Power boats that are
participating. Lee, maybe you could see if Mort would make some empty slips
available for Saturday night and we could give him recognition in the book
we put out and show him as a donor on the donor/contributor list.

• Provide national advertising and promotion:
• The JO poster will be distributed to yacht clubs and junior programs nationwide in the spring.
• US SAILING will implement a comprehensive national PR plan.
• A Junior Olympic page will be maintained on the US SAILING web site with links to host club web sites.
• Promptly posted JO results will be announced on the US SAILING home page and in e-ussailing, the weekly electronic newsletter (33,000 subscribers).
• Develop unique Junior Olympic merchandise that can be sold at your event to generate extra revenue for your budget and/or your junior program. Two licensed merchandise suppliers to choose from.
• Provide Junior Olympic medals for each class or division - gold, silver and bronze medals for skippers and crews. (1st, 2nd & 3rd provided free of charge; clubs may purchase more at cost)
• Provide giveaways and prizes for event participants.
• Provide prompt answers to all your Junior Olympic questions.

• Include three elements in your event goals: 1) education & sportsmanship, 2) exposure to Olympic sailing, and 3) fun! (The JO Manual has lots of ideas on how to do this.)

• Promote participation with the goal of at least 100 participants in the first year, and to grow the event, if it runs more than one year.
• Ensure that the host club is a member of US SAILING.
• Use the Junior Olympic name and logo in compliance with USAILING and USOC regulations (as outlined in the JO Manual).
• Use US SAILING certified race officials that are kid-friendly.
• Purchase JO merchandise only from authorized JO merchandisers.
• Display US SAILING and designated sponsor signage throughout the event.
• Involve the US SAILING representative(s) and the sponsor representative(s) in your opening and closing ceremonies, when asked.
• Involve the visiting coaches in the clinic(s) and the on-the-water safety patrol.

We agreed that we should use wristbands to track who has paid for Saturday's dinner and dance. While the children's meals will be included in their entry, parents, coaches, and other siblings need to pay. This would be a good practice at all of the Junior Sailing events. I found the following options on-line:

Temporary Tattoos - The thought is that we could sell these along with the clothing:

Goal would be to find an individual to pull together a marketing plan and execute against it

- Send letter to other YC before season ends that includes dates, lodging info, etc. This should include outside of MD (VA, NJ, PA, RI, NY, international?)
- Contact Kent County calendars & website (Connier)
- Target Publications include:

o Local Newspapers (Baltimore Sun, Annapolis, Kent County News)

Registration:
Goal: Seemless & Fast packet pickup
How:
- Drive 90% on-line registration
- Start advertising now
- Penalties for late registration
o <2 weeks to event – surcharge of $30
o On-site registration – surcharge of $50
- All waivers should be included on-line (medical, legal, photos). Examples are on the JO website.
- Pick-up tables should be organized by: boat type, last name.
- Bags should be assembled the week prior and should include: program of weekend events and FAQ, welcome letter, Map (Registration, Boat launch, parking, coach boat launch, camping info)
- Separate table for coaches with their own back of info.
- Food sales will be at registration
- Separate Question/Answer area away not part of registration
- Active.com does charge 4.5% of fee

Web Presence Established
Have a draft web page established for the JOs at RHYC which links right off the main RHYC Page, so as to maintain common look and feel for RHYC web presence. Inputs welcome! http://rockhallyachtclub.org/jo.htm

RHYC hosts the Junior Olympic Sailing Festival for the Chesapeake Bay July 9-11, 2010.
